Teams

In Brief

Team are the silver back gorillas of the OUs. They get their own funding, can determine their own budgets, purchase and sell assets, consumables, materials, and undertake projects.

Teams get their own bank accounts and card management system. They have obligations around having well documented wikis, plans, etc. High autonomy equals high due diligence.

Normally Teams are only worthwhile to use if you want to organise around a focus of the space, such as an area or particular set of assets, such as the Woodworking area might want a Woodworking team, or the various Laser Cutters might need a Laser Team.

Powers

  1. Funded monthly into an accumulating bank account.
  2. Can self determine how to spend its monies by voting amongst its members.
  3. Have authority to determine by-law/policy regarding the things the team is responsible for, such as machines or an area.

Responsibilities

  1. Must account all their expenditure in the way the treasurer sees fit.
  2. Have to hold regular meetings and document their votes when they decide to do things.
  3. Have to keep a plan updated so everyone knows what they're up to.
  4. The good running of their focus is their responsibility. This includes:
    • Working assets
    • Stocked consumables, materials
    • Documentation of the area, machines, assets, procedures
    • Ensuring machine that require induction have regular and easy to access inductions.

Minimum Requirements

  1. No less than 3 persons in a team.
  2. A nominated leader at all times.
  3. A plan published on the wiki.
  4. Meetings at least once a month.
  5. Keeping good records of their communications, and communicating in public unless exceptional circumstance.
  6. Having met their obligations as determined by The Executive.

Rules

  1. A team must have at all times:
    1. A Focus
      1. A defined area, set of machines, or otherwise clearly defineable boundary.
    2. An Objective
      1. A one line statement that outlines the Focus of the team. ie:
        • To manage and ensure the good running of area x
        • To manage and ensure the good running of all cnc machines
    3. A Plan
      1. A dot point document outlining the goals of the team to achieve its objective, forecasted over the next 1, 3 and 6-12 months.
    4. Responsibilities
      1. A list of all the tasks that are required to achieve the objective each month.
    5. Volunteers
      1. A list of members who are part of their team, and what responsibilities are assigned to them.
    6. A Budget
      1. A master budget, paid by the association to the Team each month on meeting its obligations.
      2. A set of budgets on how to spend its monies
    7. A Schedule
      1. Teams must have a team meeting at least once a month
      2. This should be on a known schedule, such as: every 1st Friday of the month at 7pm
  2. To start a team, a member must:
    1. Raise a Proposal for Resolution to start a team, which includes all detail on how the team will run as per (1).
    2. Have the Resolution approved by The Executive.
    3. Within 1 month of approval, document the team by creating a wiki page with all relevant details.
    4. Once approved and documented, the Treasurer will create all financial assets, issue the Teams money and cards.
    5. Team obligations start the moment money is issued.
